MONTGOMERY COUNTY EMERGENCY SERVICES DISTRICT NO. 10 AND THE MAGNOLIA VOLUNTEER FIRE DEPARTMENT
ASSISTANT OFFICE MANAGER Montgomery County Emergency Services District No. (“MCESD No. 10”) is seeking a qualified candidate to fill the position of Assistant Office Manager of the Magnolia Volunteer Fire Department ("MVFD") and the MCESD No. 10.
JOB SUMMARY The Magnolia Volunteer Fire Department operates with a high degree of public trust. The successful candidate shall be expected to maintain that high degree of public trust at all times. The Assistant Office Manager performs clerical tasks and assists the office administrator with duties that are moderately complex. The ideal candidate must be able to operate with minimal supervision and, at times, exercise independent judgment in completing assignments. Attention to detail is required. The applicant must have excellent written and verbal communication skills as well as strong computer, organization and customer service skills. The Assistant Office Manager shall assist the Office Manager who is responsible for the day-to-day operations of the Magnolia Volunteer Fire Department Administration Office and the office of the MCESD No. 10.
JOB RESPONSIBILITES • Assist MCESD No. 10, the Fire Chief, and the Office Manager in the development and implementation of policies within the MCESD No. 10 and the fire department’s Administrative Office. • Assist in the preparation of reports as requested by the Fire Chief, Office Manager and the MVFD Executive Board. • Serve as a point of contact for information concerning the MVFD and MCESD No.10. • Address in-person, mail, phone and electronic inquiries from records management agencies the public. • Assist with the accounts receivable function within the organization’s established policies. • Prepare and deliver requests for payment of invoices. • Manage and route phone calls to appropriate office staff. • Assist in preparation and delivery of Public Education Materials. • Assist with preparation and management of office supply orders. • Schedule Public Relations events and maintain files. • Assist Command Staff and any other duties as assigned by supervisor or the Fire Chief.
EDUCATION & EXPERIENCE A high school diploma or general equivalency diploma (GED) is required. The preferred candidate should have a minimum of 3 years experience in a clerical position. A working knowledge of the Fire Service is desirable, but not required.
THE APPLICANT SHOULD HAVE: • An in-depth working knowledge of Microsoft Windows, Word, Excel, Outlook, Publisher, and PowerPoint. • Working knowledge of effective clerical and customer service skills. • Strong interpersonal skills with the ability to work in a team environment. • Ability to use personal computers and job related office equipment. • Capability to organize and perform clerical duties in a manner conducive to effective performance. • Ability to identify problems within the office environment and recommend the appropriate solution. • Must be able to be bonded.
COMPENSATION & BENEFITS This is an hourly position, paid bi-weekly. Overtime will be paid at a rate of time and one-half for any hours in addition to the standard 40 hour work week. Work schedule will be assigned by the Fire Chief. There are 10 paid holidays annually per the MCESD No. 10 policy.
